Google Workspace integration

Connecting Gmail and Google Calendar, and what gets synced

Updated 2026.08.13

This page covers the Gmail and Google Calendar integration.

Signing in with Google connects them automatically

The moment you sign in to Aitane with a Google account, Gmail and Calendar are connected automatically. No connection steps are needed.

Sign-in requires a Google account on your organization's domain. (`@gmail.com` accounts cannot be used.)

Add another Google account

You can also connect Gmail and Calendar for accounts other than the one you signed in with.

  1. Open Settings → Email & calendar integrations.
  2. Click Add account and choose Google.
  3. On the Google screen that appears, pick the account and approve the permissions.

Integrations are per user. On a team, each member signs in themselves and their own account gets connected.

Once connected, it shows as "Connected" with the type Email & calendar.

What gets synced

  • Gmail messages
  • Google Calendar events

Sync runs in the order contacts → email → calendar. If you need it reflected right away, you can sync manually. See Sync your data.

Recording meetings

Google Meet meetings come in through the calendar integration. To have the recording bot join, see Meeting bot settings.

If you can't connect

If you see "Failed to start the Google integration", wait a while and try again.

If you see "This integration is not currently available", workspace-side setup is needed. Ask an admin.

If your organization's admin restricts connections to external apps, you may not be able to reach the approval screen. In that case, also check with your internal admin.

Before you disconnect

Disconnecting permanently deletes that account's emails and calendar events. See Connect your accounts.
