Zoom integration
Connecting Zoom and having the recording bot join meetings
Updated 2026.08.13
This page covers connecting Zoom to Aitane.
Connect
- Open Settings → Email & calendar integrations.
- Click Add account and choose Zoom.
- Complete authentication with your Zoom account.
Recording meetings
The recording bot joins Zoom meetings as a participant and handles recording and transcription.
Auto-join is controlled at three levels (workspace / personal / per meeting). See Meeting bot settings.
Meetings with a waiting room
When a Zoom meeting has the waiting room enabled, the host must admit the bot.
If the bot's status is stuck on "Waiting to be admitted", this is why. Ask the host to let it in.
If you can't connect
If you see "Failed to start the Zoom integration", wait a while and try again.
If your organization's Zoom admin restricts external apps, approval may be required.
When do you need a direct connection?
If you host your own meetings, you don't need to connect Zoom directly. Zoom meetings on your Google or Outlook calendar are imported automatically through the calendar.
A direct connection matters when someone outside your company sends you a Zoom link. Meetings hosted by the other party don't always land on your calendar, and then Aitane can't see that the meeting exists. With Zoom connected, those meetings get imported too.
If your deals often happen in meetings hosted by external parties, we recommend connecting Zoom.
